Is it possible to hold a date?

You may hold a wedding reception date free of charge for 7 days.

What is the booking process?

To secure a reservation at the Event Center, you would provide fifty percent (50%) of the rental fee plus VA sales tax (6%) with a completed contract. The balance of the rental fee and a $1,000 security deposit is due thirty (30) days prior to the event.

What is included in each rental?

Each rental includes 8 total hours of The Woodlands, with midnight (12am) as the end time. Rentals include the main banquet room, catering/buffet room, bridal suite, banquet & catering tables, inside chairs (gold chiavari) and outside chairs (white folding) for ceremony use at the Pergola, dance floor, and a ceremony rehearsal at the Pergola only (subject to availability and seasonality). The Woodlands hosts one (1) event per day.

What is the wedding reception cancellation policy?

In the event that the Renter cancels the reservation 12 months or more prior to the rental date, the entire deposit is refundable, less a $250 administrative fee.  In the event that the Renter cancels the reservation less than 12 months prior to the rental date, all payments are forfeited with the exception of the security deposit ($1,000).  If the canceled rental date is rebooked, all deposits will be refunded, less a $250 administrative fee.

What is the wedding reception maximum capacity?

The Woodlands’ maximum capacity is 200 guests. Including the dance floor and DJ space the occupancy is 180; including the dance floor and a band the occupancy is 150.

What are the catering & beverage options?

The Woodlands’ hosts Great Blue Heron Catering for all food and beverage and can by reached at 703-255-3631 x104 or GBHweddings@nvrpa.org.

Where can I have a ceremony on property?

The Woodlands rental includes use of our Pergola just outside of the venue. Outdoor folding chairs, setup and breakdown are included. Pergola use for a ceremony is subject to weather conditions since the area is not tented. In the event of inclement weather, the ceremony would take place in the main banquet room.

Do I need a wedding planner?

Events need someone outside of the wedding party to help coordinate outside vendors, plan the ceremony and to help run the procession. If you don’t have a planner or a day of coordinator, we suggest you ask a family member or friend to fill that role. The Woodlands staff will be present to have the venue ready for your event but cannot fill the role of wedding coordinator.
